Automation and practical AI
Most admin exists because software could not do something a person could. That gap has narrowed.
Admin you should not be hiring for
A fair amount of what a growing team types out by hand can now be handled properly and safely without adding anyone to the payroll. That is a recent change, and most businesses have not revisited their assumptions since it happened, so they are still hiring to absorb work that no longer needs a person.
The honest caveat is that automation applied to a bad process gives you a faster bad process. The sequence matters: understand where the time goes, fix the shape of the work, then automate what is left. Anyone selling you the third step without the first two is selling software.
Where it usually pays
Work that comes in
Handled end to end, from the first enquiry through to the quote, without waiting on somebody to find the time.
Decisions made daily
Can we cover it, do we have the capacity, what should it cost. The questions your team fields all day, answered in seconds and answered the same way every time.
Records and compliance
Evidence captured as the work happens, rather than gathered up afterwards.
Pace: email enquiries answered within minutes
Enquiry handling of this kind is available as a managed service. Pace replies in your tone, asks for missing details and sends quotations from your own prices.
None of it is automation for its own sake. Each one replaced something being done by hand, taking hours the business could not spare.
How it is built
I build these myself rather than handing you a list of products and leaving you to it. Where something off the shelf does the job, I will say so and set it up properly, and where nothing quite fits I build a custom solution around how your business actually works, then run it alongside your team until it is doing what it should.
Anything touching customer data is designed with that in mind from the start, which matters more than it used to now that clients ask where their information goes. If you hold ISO 27001, or want to, that question comes up formally rather than in passing.
Common questions
Is this just chatbots?
No. Most of the value is in work arriving, being understood and being acted on without somebody rekeying it, rather than in anything a customer talks to.
What happens to our data?
It is designed around that question from the start, and where information security is formalised through ISO 27001 the design has to satisfy an auditor as well.
Will it replace people?
In the businesses I work with it removes the reason to hire the next administrator, rather than replacing the team you already have.
What if it stops working?
It is built to be handed over, documented and understood by your team, and anything I build I will support while it settles in.
Where should we start?
Usually with the single most repetitive thing your team does. If that is not obvious, an operations review will find it.

Half an hour on the phone is usually enough for us both to work out whether there is something worth doing here.
